  • Identifiers and Contact Details: Name, date of birth, gender, address, phone number, email address, Medicare number, and concession card details.

  • Sensitive Health Information: Medical history, current symptoms, medications, allergies, consultation notes, prescriptions, referrals, and other clinical information arising from telehealth consultations.

  • Technical and Usage Data: IP address, device information, browser details, booking and consultation logs, and cookies/analytics data.

  • Payment Information: Processed securely via third-party providers (we do not store full card details).

 

2. How We Collect Your Information

 

Information is collected directly from you during registration, booking (including eligibility questionnaires), consultations, and communications. We may also collect information from:

 

  • The attending Doctor after a consultation.

  • Integrated systems (e.g., Cal.com, Wix, Jotform).

  • Third-party service providers, with your consent or as permitted by law.

  • Publicly available sources where lawful.

 

3. Purposes of Collection, Use, and Disclosure

 

We collect, use, and disclose your personal and health information to:

 

  • Facilitate and deliver telehealth consultations, including sharing relevant information with the attending Doctor.

  • Process bookings, payments, Medicare bulk-billing, and administrative functions.

  • Provide appointment reminders, follow-up communications, and customer support.

  • Improve our services, conduct de-identified analytics, quality assurance, and staff training.

  • Comply with legal and regulatory obligations (e.g., AHPRA, Medicare, mandatory reporting requirements).

  • Manage risk, insurance, complaints, and disputes.

  • Send marketing and promotional communications (you may opt out at any time).

 

Sharing with Your Regular Doctor 

 

With your explicit consent, we may share relevant personal and health information from your BulkBill.Doctor consultations with your regular general practitioner (GP) or other treating doctors to support continuity of care and coordinated treatment. You may withdraw this consent at any time by contacting our Privacy Officer.

 

We do not sell your personal information. Disclosure to third parties (e.g., IT hosting providers, payment processors, or regulators) occurs only under strict contractual safeguards and as permitted by the APPs.

 

Overseas disclosure will only occur where necessary, with appropriate safeguards in place (e.g., standard contractual clauses).

 

4. Consent and Telehealth Specifics

 

You provide informed consent for telehealth consultations, which includes the sharing of necessary health information with the consulting Doctor. Additional consent may be sought for sharing with your regular GP or other providers. Clinical consent processes occur during or in connection with each consultation.

 

5. Storage and Security

 

Your information is stored securely, primarily in Australia, using encryption, access controls, and other reasonable security measures. Health records are retained in accordance with legal requirements (generally at least 7 years for adults). We comply with the Notifiable Data Breaches scheme in the event of any eligible data breach.

 

6. Access, Correction, and Complaints

 

  • Access and Correction: You may request access to or correction of your personal information by contacting our Privacy Officer. We will respond within a reasonable timeframe (usually 30 days) and may require identity verification. A fee may apply in limited circumstances for access requests.

  • Complaints: If you have a privacy concern, please contact our Privacy Officer in the first instance. We will acknowledge your complaint promptly and aim to resolve it within 30 days. If you are not satisfied, you may complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Where lawful and practicable, you may deal with us anonymously or under a pseudonym. However, for telehealth services and Medicare billing, identification is generally required.
